How to Add/Edit Report Template - CargoSmart Help

You can add or edit your report template by defining the report layout, specifying the data source and customized layout, setting filters, and selecting a report file format. Reports are sent via e-mail according to your defined report schedule.

Tips on Report Layout:

  • This application is best viewed with a screen resolution of 1024 x 768, with 7 - 8 fields selected for display. For 800 x 600 screen resolution, we recommend you to select 4-5 fields for best viewing.
  • You can specify the order of the columns.
  • A maximum of three data fields can be sorted.
  • If you choose to view Freight Charges along with container level field(s), the freight charges will be repeated for each container level record in the report. If one B/L has two containers, the freight charges will appear twice.

Tips on Data Source:

  • By default, report templates will be applied to active shipments only. Optionally, you can apply the report template to both active and past shipments.
  • By default, any new report template you create will be assigned "Standard View". Meaning, each shipment in the report will be generated using the Shipping Instructions/Bill of Lading. If the Shipping Instructions/Bill of Lading data for the shipment is not yet available in CargoSmart, then the Booking Request/Confirmation will be used.
  • To obtain a report containing specific data, you can select "Special 'document' View". It will contain details obtained solely from "Booking Requests/Confirmation" or "Shipping Instructions/Bill of Lading" sources. Also it will exclude additional status or tracking information.
  • For each filter option, you must specify values for at least one of the listed criteria.
  • The system uses the logical function (AND) across the three filter options.
  • Within a particular filter option, the system uses the logical function (OR) across the different filter criteria. The only exception is when dates are being specified in the filter criteria. When dates are specified the logical function (AND) is used.

    For example, show shipments where

           shipper = X OR Y OR Z
           AND
           first vessel departure date between 13/01/2001 and 23/01/2001.

  • In the report fields, there may be blank or have missing values because either the data sent by the carrier is blank, the event has not yet occurred, or data has not been received from the carrier.
  • Click the Preview Report button to preview the report layout prior to generating a report. CargoSmart will display up to ten records for the preview function.
  • The pre-paid and collect bill of lading freight charges and the invoice charges are derived from separate data sources – the bill of lading freight from the shipment details, and the invoice charges from the carrier’s invoice files. Because the data comes from two different sources, and may come at different times, this may result in discrepancies between the bill of lading and the invoice charges.

Tips on Customize Layout:

  • Under Customize Column Label, you can rename the column labels.
  • Under Column Details, you can choose whether to show the Location, and/or Date/Time for each container event.
  • Under Report Details, you can choose whether to show the Time Zone and/or Vessel Service for affected fields. For selected columns, you can choose whether to show multiple values per shipment within the same row.

Tips on Set Filter by First Vessel Departure, Last Vessel Arrival or Arrival Date at Final Destination Hub:

  • From the current date, you can filter within the last 7, 14, or 30 days; the next 7, 14, or 30 days; or, you can specify a date range for your filter.
  • If you define a date range and schedule the report to run periodically, when the date range expires, your report may be empty. By default, there will be no date restriction.

Tips on Set Filter by Status:

  • You may select multiple values for a given status.
  • You may select to filter within the last 7, 14, 30 days from the current date or you may specify a date range for your filter.

Tips on Set Filter by Status for Inbound Customs Clearance Status and B/L Freight Clearance Status:

    Shipment statuses are subjectively submitted by Carriers at B/L Level, Container Level, or both. To facilitate report templates in Customized Reports, please consider the following system logics:

  • If users have NOT selected "Container Number" to the report template, then shipment data may be shown according to "Filter Status" and "Clearance Status at B/L Level".

  • If users have selected "Container Number" to the report template, then shipment data may be shown according to "Filter Status", "Clearance Status at B/L Level", and "Clearance Status at Container Level".

  • Logics applied to "B/L Freight Clearance Status"

  • Similar logics are applied to "B/L Freight Clearance Status", except that statues in "Released" and "Not Released" are replaced by "Cleared" and "Not Cleared" respectively.
  • Besides, the "Blank (N.A)" is not an applicable filter option to the "B/L Freight Clearance Status".

Tips on E-mail Report Schedule:

  • You may select a schedule to receive the report at regular intervals.
  • After you have successfully modified and saved a report schedule, the changes will be in effect the next time the report is run.
  • Any report generation schedule that falls on a downtime period will be generated and sent to you on the next scheduled execution (usually 3:00 HKT daily).
  • Report e-mail with attachment files are limited to 1MB. Files larger than 1MB are split accordingly and you will receive multiple e-mails with attachments.
  • You can run reports at any time.

Tips on Report File Format:

  • You can receive the report in Text or CSV format. If you choose .csv, then your report can be opened by Excel without requiring any prior formatting selection inside Excel. However, please note that .csv format CargoSmart reports contain some fields that are specially formatted because they may contain values with 'leading zeros'. This is necessary since some carriers are using Booking and Bill of Lading numbers which begin with the number zero. Whilst these values appear normally in the Report, if you choose to copy them from a Report and paste them into an online CargoSmart application/enquiry you must be sure not to include those three special characters that are around the number.
  • Based on your user profile, downloaded reports will be sent as an e-mail attachment. You can save the file to your hard disk, or open the Text or CSV attachment as an Excel file. To open a .CSV attachment in Excel, double-click the file. The following prompt appears: Open With, Choose the program you want to use. From the programs listed, select Microsoft Excel. To open all future .CSV reports in Excel, select the option; Always use this program to open these files.
